SafePlay: Policies, Consent and Participant Enrolment
We want everyone to feel safe, happy and to be able to play. We are sharing this document to explain clearly the expectations for all participants in SafePlay so that everyone has a good time. It reflects our values as a social enterprise, with a strong commitment to safety, respect, and include for everyone involved. It also outlines the shared responsibilities that all participants, staff, and partners have in ensuring that SafePlay remains a secure and positive space that can continue providing employment for neurodivergent people.
If you have any questions please don’t hesitate to reach out to us a press-start@nextlevelcollaboration.com and we would be happy to answer them.
Confidentiality and Information Sharing
- Participants and their families may not distribute or share any program-specific documentation, resources, or information provided for the SafePlay program to external parties.
- Server details and access information are confidential. Sharing this information with anyone outside of approved accounts prohibited. This measure ensures participant and session facilitator safety and maintains the integrity of our secure, whitelisted servers.
Technology, Hardware, and Software
- Participation in SafePlay requires appropriate hardware, software, and internet access, along with online service subscription if required for online play access (e.g. Xbox Live or Nintendo Switch Online). These are the responsibility of the participant’s guardian and are not included in program fees.
- By engaging with SafePlay, you acknowledge that you will provide the necessary equipment to enable participation.
Communication Tools
- SafePlay sessions use voice and text chat tools for communication. Video tools (e.g., webcams) are required to join the Zoom session in order to confirm participant identities and provide technical assistance if necessary. However, we understand that participants have different communication preferences and we do not require video to be continually enabled throughout play.
- Participation in the Zoom (or another designated platform) portion of the program is required to ensure that online play remains supervised and monitored by program facilitators.
Data Collection and Privacy
- SafePlay collects and uses participant data for internal purposes only. This data is kept private within Next Level Collaboration and used solely for program-related functions.
- While we take reasonable measures within our control to protect participant information, we cannot guarantee data security in the event of an external breach. By joining SafePlay, you acknowledge and accept these limitations.
Program Scope and Responsibility
- SafePlay provides limited, structured, and supervised online play using age-appropriate media and resources.
- Participants are only permitted to access the SafePlay server during session times, and accessing external Minecraft servers or other online games is strictly prohibited as these cannot be monitored by SafePlay session staff. If a participant is found to be accessing any external Minecraft servers or other online games during SafePlay session time, their parents/guardians will be advised and a formal warning will be issued.
- Facilitators are not responsible for participants misusing technology or accessing inappropriate content external to the SafePlay server inside or outside of the curated session times.
- Participants are responsible for following session guidelines, behaving appropriately online, and respecting both facilitators and peers. An outline of game-specific appropriate behaviours will be made explicit at the beginning of each session.
- Participants must engage in respectful, inclusive, and age-appropriate behaviour during all SafePlay sessions.
- Inappropriate behaviour—including but not limited to harassment, bullying, offensive language, or unsafe actions—will not be tolerated.
- Next Level Collaboration reserves the right to mute, restrict, or remove any participant from sessions if conduct is deemed inappropriate.
- The program facilitators have sole discretion to determine what constitutes appropriate conduct within SafePlay’s private servers and online sessions.
Staying Safe: Parental Supervision
- A parent/guardian must be present, or at minimum within contact range, while participants are in SafePlay sessions.
- This ensures an added layer of safety and support during online sessions.
Staying Safe: In-game Transactions and Account Controls
- Some games used in SafePlay sessions include features that allow players to make in-game purchases. SafePlay facilitators cannot control, restrict, or monitor any purchasing functions on participant devices or accounts.
- Parents/guardians are responsible for ensuring that purchasing abilities are disabled or appropriately restricted (e.g., parental controls, removed payment methods, supervised use).
- Next Level Collaboration is not responsible for any in-game purchases made by participants during or outside of SafePlay sessions. All costs incurred through gaming platforms or devices are the responsibility of the parent/guardian.
Staying Safe: Inclusivity and Online Risks
- SafePlay is committed to maintaining an inclusive, supportive, and safe environment for all participants.
- Despite best efforts, online engagement carries inherent risks, including exposure to user-generated content. Activity and content occurring on the SafePlay server is moderated by SafePlay session facilitators, however, Next Level Collaboration accepts no responsibility for any content SafePlay participants may access outside the SafePlay server.
- If you wish to use NDIS funding for SafePlay, please note: It is your responsibility to ensure the program can be claimed under your plan. Please confirm eligibility with your Local Area Coordinator and/or Plan Manager before registering.
- If you require supporting documentation for NDIS purposes please reach out to us at press-start@nextlevelcollaboration.com
- In the event that NDIS funding does not cover the program, you remain personally responsible for the cost of participation.
- We are able to provide reports for SafePlay participants using Capacity Building NDIS funds if required. Our reports provide a summary of a participant’s engagement, strengths, and skill development across the term, as well as suggested next steps or areas for continued support.
- Capacity Building Reports are prepared by an appropriately qualified member of the SafePlay team and will incur an additional fee of $149.
